This policy explains what information Midebo collects, how we use it, and the choices you have. We keep it short and in plain English on purpose.
1.Who we are
1.1Midebo is a family-owned business that provides an AI phone receptionist for local trade and service companies. In this policy, “Midebo,” “we,” and “us” mean Midebo LLC, a Missouri limited liability company.
1.2There are two different people this policy speaks to, and the answers are not the same for both. If you are a BUSINESS that uses Midebo — or someone visiting this website — “you” means you, and we are responsible to you directly. If you are a CALLER who rang a business that uses Midebo, we handled your call on that business's behalf: they decide what happens to it, and requests about your information are best made to them. Tell us anyway if you cannot reach them and we will help — being one step removed is not a reason to leave someone stuck.
2.Information we collect
2.1From website visitors: if you fill out the contact form, we collect the name, business name, trade, email, phone number, and message you give us. Our web server also records standard technical data such as your IP address and browser type, and we keep first-party, cookieless usage counts (which pages are viewed) to understand what is working. If you arrive from an advertisement or a campaign link, we record which one — a source, a medium and a campaign name taken from the web address — and if you go on to sign up we keep it on your record, so we can tell which advertising actually reaches shops like yours. It is not used to build a profile of you and it is not shared.
2.2We use Cloudflare Turnstile on our contact and signup forms to tell real people from bots. It is not advertising or analytics and it does not follow you around the web, but it does check your browser, which means Cloudflare receives your IP address and some technical details about your device. It is named in our Data Processing Agreement along with everyone else who handles information for us.
2.3When we advertise Midebo — on Google and YouTube, on Meta's platforms Facebook and Instagram, and wherever else reaches small businesses near us — this site sets advertising and analytics cookies belonging to those companies, so they can tell which advertisements reach shops like yours. Every company that receives information about you that way is named in our subprocessor list below. When you sign in to your Midebo account we set one cookie that keeps you signed in — it is required for the service to work, holds no advertising data, and is not shared.
2.4From customers using the service: to answer and book calls on your behalf, we process the phone calls placed to your Midebo line, including call audio, recordings, transcripts, and the caller details needed to book a job (such as name, phone number, address, and the reason for the call).
3.Call recording
3.1Midebo answers calls with an AI agent that identifies itself and discloses that the call is being recorded. Recordings and transcripts are used to book the job, keep an accurate log for the business, support and secure the service, and improve the call handling you have configured.
3.2Recording and consent laws vary by state. If you are a business using Midebo, you are responsible for ensuring that recording calls from your line is permitted in your jurisdiction and for any additional notice or consent your customers require. We provide the in-call disclosure and give you controls, but compliance in your area is your responsibility.
4.How we use information
4.1We use the information to answer and book calls, respond to your inquiries, provide and support the service, send service-related messages, prevent abuse, and meet legal obligations. We do not sell your personal information, and we do not use call content to advertise to you.
4.2We do not use your calls, recordings, transcripts or customer lists to train AI models, and we do not sell them. We opt your callers' audio out of our transcription provider's model-improvement program, so it is not used to train their speech models either. Our other providers process call content to deliver the service, and may also use it to improve their own products and services.
5.How we share information
5.1We share information only with service providers that help us run Midebo, such as telephony, cloud hosting, AI language and voice providers, and the Google business listing lookup you can use while setting up, and only as needed to deliver the service. These providers are bound to protect the information. We may also disclose information if required by law or to protect our rights, and as part of a business transfer such as a merger or acquisition.
5.2Mobile phone numbers and text-message consent are never shared with third parties or affiliates for marketing or promotional purposes. If you opt in to text alerts from us, your number and that opt-in are used only to send you those alerts.
6.Google Workspace and calendar connections
6.1Midebo's use of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
6.2If you connect a calendar, we ask for the narrowest access that lets the service work: permission to read when you are busy, so our assistant never books over something already on your calendar, and permission to write the appointments it books for you. We do not create or delete calendars.
6.3Event titles, descriptions, attendees and guests are never sent to any AI or machine-learning provider. They are used only to show you your own calendar inside Midebo. No Google user data — raw, aggregated, or derived — is used to train, improve, or evaluate any AI or machine-learning model, by us or by any provider we use. The language and speech providers that power the assistant process your information only to deliver the service to you.
6.4You can disconnect a calendar at any time from your Midebo settings, and you can revoke our access directly from your Google account. Disconnecting stops all future reading and writing, and we delete the busy-time information we copied from it.
7.Microsoft and other calendar connections
7.1If you connect Outlook or Microsoft 365, we access your calendar through the Microsoft Graph API using the narrowest access that lets the service work: permission to read when you are busy, so our assistant never books over something already on your calendar, and permission to write the appointments it books for you. We do not create or delete calendars.
7.2If you connect a calendar over CalDAV, you supply your own server address and credentials. We use them only for those same two purposes, we store them only to keep the connection working, and we do not use them to read anything else on your account.
7.3The protections described above apply identically to these connections: event titles, descriptions, attendees and guests are never sent to any AI or machine-learning provider, and no calendar data — raw, aggregated, or derived — is used to train, improve, or evaluate any AI or machine-learning model, by us or by any provider we use.
7.4Midebo only ever changes events it created itself. Events you or anyone else added are read to work out your availability and are never edited or deleted. You can disconnect a calendar at any time from your Midebo settings, and for Outlook and Microsoft 365 you can also revoke our access directly from your Microsoft account. Disconnecting stops all future reading and writing, and we delete the busy-time information we copied from it.
8.Data retention
8.1Call recordings and transcripts are retained for up to 30 days in Midebo-controlled systems, on every plan, unless you delete them sooner. A provider that helps us deliver the service may apply a shorter period of its own; the current provider-specific periods are in our Data Processing Agreement. A short written summary of each call, your customer list and your appointments are your business record and are kept for as long as your account is open. You can delete an individual recording or transcript yourself at any time, unless we are required to preserve it — for example while a legal hold is in place. Deleting removes it from Midebo-controlled systems; a copy held briefly by our telephony provider ages out on its own within about two weeks.
8.2We keep contact-form leads for as long as needed to answer the enquiry and for a reasonable period afterward, then delete or anonymize them. A business customer can request deletion of its call data at any time as described below.
9.Security
9.1We protect information with appropriate technical and organizational measures, including access controls, encryption in transit, and separation of the public website from customer data. No method of transmission or storage is perfectly secure, but we work to protect your information.
10.Your choices and rights
10.1You can ask us to access, correct, or delete the personal information we hold about you by emailing us. Depending on where you live, you may have additional rights under local privacy law, and we will honor those rights.
11.Where we handle your information
11.1Midebo is built, run and supported in the United States, and that is where your information is stored and processed. We offer the service to businesses in the United States.
11.2If you contact us or call one of our customers from outside the United States, your information will be handled here, under United States law — which protects personal information differently from the rules where you live, and can allow access by United States authorities in ways your own country's laws may not. We do not offer the service outside the United States. If information does reach us from abroad we apply the contractual and technical measures that come with the service — contact us before using Midebo from outside the United States so we can work out whether we can support the transfer mechanism your law requires.
12.Children
12.1Midebo is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.
12.2If we learn that we hold information from a child under 13, we delete it.
13.Changes to this policy
13.1We may update this policy from time to time. When we do, we will change the date at the top of the page, and significant changes will be made clear.
